How to Share Platform Access – v1.0

In this article, we'll go over the steps for sharing access to the most common platforms necessary for digital advertising:

Before You Start

1) Make sure you have the authority to add new users. Just because you think you own the accounts, you might not have access to the platforms (via a specific email address like a lost generic Gmail or an old employee's/agency's email address).

2) Ensure that the new users/team has proper access controls in place for security purposes.

3) Share access level at an as-needed level only. i.e. If the new team is only analyzing, all they need is "View" level. If they are to manage the accounts, they might need "Edit" or full "Admin" level. Sharing "User Management" level is generally out of convenience and not necessary for platform edits. "Financial" levels are generally optional or separate.


 

Google Analytics

Google Analytics is a free web analytics service offered by Google that tracks and reports website traffic. It is a valuable tool for website owners and marketers as it provides insights into how visitors interact with a website, including information on the pages they visit, the source of their traffic, and how long they spend on the site.

Things to note:

  • You can add users at the account, property, or view level.
    • GA4 accounts does NOT have a "View" level.
    • Users would need "Property" level access to create new Goals and Filters in GA3.
  • ⚠️Users must have a Google Account

 

How to Add New Users to Google Analytics:

  1. Sign in to Google Analytics.
  2. Click Admin, and navigate to the desired account/property/view.
  3. In the Account, Property, or View column (depending upon whether you want to add users at the account, property, or view level), click Access Management.
  4. In the Account permissions list, click +, then click Add users.
  5. Enter the email address for the user's Google Account.
  6. Select Notify new users by email to send a message to the user.
  7. Select the permissions you want. Learn more about permissions.
  8. Click Add.

 

Google Tag Manager

Google Tag Manager is a free tool that allows you to quickly and easily add tracking and marketing tags to your website. It helps you manage and deploy marketing and analytics tags, including Google Analytics, without the need for code changes on your website.

Things to note:

  • Google Tag Manager allows you to delegate access to other users at the Account and Container level.
  • ⚠️Users must have a Google Account

 

How to Add New Users to Google Tag Manager:

  1. Sign in to Google Tag Manager.
  2. Click Admin.
  3. In the Account column, select User Management.
  4. Click Add.
  5. Select Add new users.
  6. Enter one or more email addresses.
  7. Set Account PermissionsUser is selected by default, and this level allows the user to view basic account information. Select Administrator if the user should have the ability to create new containers and modify user permissions for accounts and containers.
  8. Optional: Set Container Permissions for each container that you would like the user to have access to.
  9. Click Invite. Each invited user will receive an invitation to use the container.

 

Google Search Console

Google Search Console is a free tool provided by Google that helps website owners monitor and maintain their website's presence in Google search results. It allows you to see how Google crawls and indexes your site, and provides data and recommendations on how to improve your site's visibility and performance in search results.

Things to note:

  • A property must have at least one verified owner, or no users will have access to the property.
  • There are two types of owners, both have the same permissions:
    • Verified owner: Someone who verified ownership of the property using a token to prove ownership (such as an HTML file uploaded to the website).
    • Delegated owner: Someone granted ownership status by a verified owner without the use of a verification token (such as an HTML file or tag).
  • ⚠️Users must have a Google Account

 

How to Add New Users to Google Search Console:

  1. Sign in to Google Search Console.
  2. Choose a property in Search Console.
  3. Click the Settings icon Settings in the navigation pane.
  4. Click Users & permissions.
  5. Click Add user
  6. Enter the Google Account name (email) of the new user.
  7. Choose the permission level (role) to grant the user.
  8. Save your changes.

 

Google Ads

Google Ads (formerly known as Google AdWords) is an online advertising platform developed by Google, where advertisers pay to display brief advertisements. Google Ads allows businesses to set a budget for advertising and only pay when people click the ads.

Things to note:

  • There are two categories of access: "Users" and "Managers". They both do the same things with minimal differences. "Managers" are usually teams with an "MCC" account which allows them to manage mulitple accounts under one master account.
  • ⚠️Users must have a Google Account

 

How to Add New Users to Google Ads:

  1. Sign in to your Google Ads account.
  2. In the upper right corner of your account, click the tools icon Google Ads | tools [Icon], then under "Setup," click Access and security.
  3. Click the plus button  .
  4. Select an access level for your invitee, then enter their email address.
  5. Click Send invitation.
  6. After the person accepts your email invitation, you'll receive a notification in your account. If you need to revoke your invitation, click Revoke in the "Actions" column.
